Refund & Cancellation Policy

At Mind Body Soul Academy, we aim to make our refund and cancellation terms clear before you purchase.

This policy applies to digital resources, online courses, memberships, private appointments, programmes and events purchased directly from Mind Body Soul Academy.

Nothing in this policy limits any mandatory rights you may have under Maltese or European Union consumer law.

1. Digital Products, Downloads & Self-Paced Courses

Many Mind Body Soul Academy products are supplied digitally and may be available for immediate download, account access or streaming following purchase.

Consumers purchasing online ordinarily have a 14-day statutory right of withdrawal. Different rules apply where digital content is supplied immediately.

Where you request immediate access to digital content before the 14-day withdrawal period has expired, we may ask you at checkout to:

expressly consent to the digital content being supplied immediately; and
acknowledge that once downloading, streaming or other supply of the digital content begins, you lose your statutory right of withdrawal in relation to that digital content.

EU rules specifically require this express consent and acknowledgement before the withdrawal right can be lost through immediate digital delivery.

Once digital content has begun to be supplied following that consent and acknowledgement, change-of-mind refunds will not normally be available.

This applies to products including, where relevant:

downloadable PDFs;
practitioner resources;
editable Canva resources and templates;
scripts;
workbooks;
audio or video resources;
digital toolkits; and
immediately accessible self-paced course content.

This does not affect any statutory remedies available where digital content is faulty, materially not as described or otherwise fails to meet applicable legal requirements.

Professional and Business Purchases

Some Mind Body Soul Academy resources are specifically created for practitioners to use within their professional businesses.

Statutory consumer withdrawal rights apply to individuals purchasing as consumers rather than persons acting within their trade, business, craft or profession. Where a resource is purchased for professional/business use, the contractual refund and licence terms applying to that product will apply to the extent permitted by law.

2. Voluntary Money-Back Guarantees

Occasionally, a particular course or programme may be offered with an additional money-back or satisfaction guarantee.

Where such a guarantee applies, the guarantee period and qualifying conditions will be clearly stated on the relevant sales or checkout page before purchase.

A promotional guarantee may reasonably require evidence that the purchaser has engaged with or implemented the programme, such as:

completed worksheets or programme exercises; and/or
reasonable evidence that the relevant material or methodology has been attempted.

A voluntary promotional guarantee is additional to statutory consumer rights and does not replace or restrict rights available under applicable law.

3. Private Sessions, Consultations & Appointments

Private appointment times are reserved specifically for the person making the booking.

Standard Appointment Cancellation

Unless otherwise stated at booking:

please give at least 24 hours’ notice if you need to cancel or reschedule;
appointments cancelled with less than 24 hours’ notice may be charged in full or deducted from a prepaid package;
missed appointments without notice may be treated as a no-show and charged in full; and
if you arrive late, the appointment will normally still finish at the originally scheduled finishing time.

Where possible, we will always try to deal reasonably with genuine emergencies or exceptional circumstances.

Statutory Withdrawal Rights for Services Booked Online

Where an individual books a service online as a consumer, a statutory 14-day withdrawal period may apply from the date the service contract is concluded.

If you specifically request that we begin providing the service during that 14-day period and subsequently exercise a valid right of withdrawal before the service has been fully performed, you may be required to pay a proportionate amount for services already provided.

Where a service has been fully performed during the withdrawal period following the consumer’s prior agreement and the required acknowledgement, the statutory withdrawal right may cease.

The standard 24-hour appointment cancellation policy operates alongside, and does not remove, any mandatory statutory rights.

4. Memberships & Recurring Subscriptions

Where you purchase a recurring membership or subscription, you authorise the agreed recurring payment at the frequency displayed at checkout.

You may cancel future renewals through the customer account/dashboard where that facility is provided.

We recommend sending an email cancellation request at least three business days before the next scheduled payment date to allow time for manual processing.

Cancellation stops future renewals. It does not normally provide a retrospective refund for a subscription period that has already begun, except where:

required by applicable law;
the payment was taken incorrectly; or
a specific product guarantee provides otherwise.

After cancellation, access to membership content or communities will normally continue until the end of the period already paid for unless the applicable membership terms state otherwise.

Any digital resources validly downloaded under an ongoing practitioner licence may continue to be used in accordance with the licence supplied with the product.

5. In-Person Events, Workshops, Immersions & Retreats

Events, retreats and other leisure-related services taking place on a specified date or during a specified period can fall within an exception to the ordinary EU 14-day withdrawal right.

The individual cancellation terms for each event will therefore be clearly displayed before booking.

Unless different terms are stated for a particular event:

Deposits

Any booking deposit identified as non-refundable is used to reserve your place and contribute towards advance event commitments.

If you cancel, the deposit will normally be non-refundable except where applicable law requires otherwise.

If we cancel the event, the rules under “Event Cancellation by Us” below will apply.

Balance Payments

The remaining event balance must be paid by the date stated on the event registration or booking information.

Failure to pay the outstanding balance by the required date may result in cancellation of the booking and loss of the deposit, subject to the particular event terms and applicable law.

Participant Cancellation

Unless a particular event states different terms:

cancellation 60 days or more before the event: amounts paid above the non-refundable deposit will normally be refunded;
cancellation less than 60 days before the event: payments will normally be non-refundable because venue, accommodation, staffing and other event costs may already have been committed.

Where we are able to recover substantial costs or fill the cancelled place, we may at our discretion offer an alternative arrangement or partial credit, but we are not obliged to do so unless required by law.

Travel Arrangements

Participants are responsible for arranging their own flights, transport, accommodation outside the event package and other personal travel arrangements.

We strongly recommend purchasing appropriate travel insurance covering cancellation, illness, travel disruption and other circumstances relevant to your trip.

Mind Body Soul Academy is not responsible for independent travel expenses except where liability cannot legally be excluded.

Event Cancellation by Us

If Mind Body Soul Academy cancels an event and does not provide a suitable alternative, amounts paid directly to Mind Body Soul Academy for the cancelled event will be refunded.

We will not normally be responsible for independently booked flights, accommodation, transport or other third-party expenses, except where applicable law provides otherwise.

Where an event cannot proceed because of circumstances outside our reasonable control, we will communicate with participants as soon as reasonably possible and explain the options available.

6. Refund Processing

Where a refund is approved or legally required, it will normally be returned using the original payment method unless another method has been expressly agreed.

Where statutory withdrawal rights apply, EU rules generally require the trader to reimburse the relevant payment without undue delay and within the applicable statutory period.

Processing times after a refund has been issued may vary depending on your bank or payment provider.

7. Payment Disputes & Chargebacks

If you believe that a payment has been taken incorrectly or that there is a problem with your purchase, please contact us first at:

We will make reasonable efforts to investigate and resolve the issue.

Nothing in this policy prevents a purchaser from exercising legitimate rights through their bank, card provider, payment processor or applicable consumer-protection procedures.

We reserve the right to provide transaction records, access records, licence information and other relevant evidence when responding to a payment dispute or chargeback.
